This policy explains what personal information we collect through this website, why we collect it, how long we keep it and the rights you have over it. It covers visitors to www.lowther-forestry.co.uk, people who send us an enquiry and people who apply for a job with us.

Information We Collect
When you send an enquiry
Our contact form asks for your name, email address, phone number (optional), your message and the region your enquiry relates to. We use this to reply to you, pass your enquiry to the right regional office and, where it leads to work, to prepare a quotation or tender response.
Lawful basis: our legitimate interest in responding to enquiries about our services, or taking steps at your request before entering into a contract.
When you apply for a job
Our job application form asks for:
- your name, email address, phone number and postal address
- the role you’re applying for
- your education, training, qualifications and employment history
- a supporting statement about why you’re applying
- the names and addresses of two referees
- whether you need a permit to work in the UK
- whether you hold a full UK driving licence and details of any current endorsements
- any reasonable adjustments we can make to help with your application
We use this information to assess your application, contact you about it, arrange interviews and, if we offer you a role, take up references and carry out right-to-work checks.
Lawful basis: taking steps at your request before entering into an employment contract, and our legal obligation to check that employees have the right to work in the UK.
Reasonable adjustments. What you tell us here may include information about your health or a disability. We only use it to support you through the recruitment process, and we share it only with the people involved in arranging your interview or assessment. We process it under our obligations in employment law, including the Equality Act 2010.
Driving endorsements. Many of our roles involve driving company vehicles and towing plant, so we ask about current endorsements. Details of motoring offences are treated as criminal offence data. We only use them to assess whether you can safely and legally carry out a role that involves driving, and we keep them confidential to the people making the recruitment decision.
Referees. If you give us details of referees, please let them know first. We’ll only contact them if we’re considering offering you a role.
When you browse the site
We use Pirsch, a privacy-friendly analytics service, to count visits and see which pages are useful. Pirsch doesn’t use cookies and doesn’t store your IP address. It creates an anonymous daily identifier from your IP address and browser details, which changes every day and can’t be used to identify you or follow you across other websites. We see only totals, such as page views, referring sites, and the country and type of device visitors use. Pirsch is run by a company based in Germany and stores its data on servers in the EU.
Like most websites, our hosting and security systems also keep short-term technical logs of the IP addresses and browsers that access the site. We use these to keep the site secure, block malicious traffic and fix faults.
Lawful basis: our legitimate interest in understanding how the site is used and keeping it secure.
Cookies
This website doesn’t use advertising, tracking or analytics cookies, so we don’t show a cookie banner. The only cookies set are those WordPress needs when our own staff log in to manage the site. They’re not set for ordinary visitors.
If we add a service that sets non-essential cookies in future, we’ll update this policy and ask for your consent before setting them.
Who We Share Your Information With
We don’t sell your personal information or share it with anyone for marketing.
We share it only with service providers who help us run the website and handle your enquiry or application, and only as far as they need it to do that work:
- Our website developer and host, who maintains the website and the server it runs on
- Postmark, our email delivery provider, which sends form submissions to our team
- Pirsch, for anonymous site analytics
These providers act on our instructions and must keep your information secure. We may also share information where the law requires it, for example with HMRC or the police, or to protect our legal rights.
Where Your Information Is Stored
This website and the information you send through its forms are stored on servers in the UK. When you submit a form, the email that brings it to our team is sent through Postmark, which is run by ActiveCampaign in the United States. ActiveCampaign is certified under the UK Extension to the EU-US Data Privacy Framework, which the UK recognises as giving personal data an adequate level of protection. Pirsch stores its anonymous analytics data in the EU, which the UK also recognises as adequate.
How Long We Keep It
- Enquiries: up to three years after our last contact with you. If your enquiry leads to a contract, we keep the contract records for as long as the law requires.
- Job applications: up to three years after we tell you the outcome. If you’re offered a role, your application moves to your personnel file.
- Analytics: Pirsch holds only anonymous totals, which don’t identify you.
- Security logs: kept for a short period and then deleted automatically.
Your Rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that’s wrong or incomplete
- ask us to delete your information
- ask us to limit how we use your information
- object to us using your information on the basis of legitimate interests
- ask us to transfer information you’ve given us to another organisation
To use any of these rights, contact us using the details in “Who We Are”. We won’t charge you, and we’ll reply within one month. Some rights have limits. For example, we may need to keep certain records to meet a legal obligation, and if so we’ll explain why.
We don’t make decisions about you using fully automated processes.

If you’re unhappy with how we’ve handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection:

We’ll update this policy if we change how we use personal information, for example if we add new services to the website. The date at the top shows when it was last updated.
